This Privacy Policy explains how QReachPilot (“we”, “us”, “our”) collects, uses, shares, and protects personal information when you use our website, web portal, desktop application, and related services (the “Service”).

1. Information we collect

• Account information: name, email address, password (stored hashed), and workspace/team membership.
• Billing information: subscription status and payment metadata processed by Stripe. We do not store full card numbers.
• Customer content: contacts, prospect lists, campaigns, message templates, and connected channel accounts you choose to link.
• Usage & device data: logs, IP address, browser or app version, and actions needed to operate and secure the Service.
• Support communications: messages you send through contact forms or email.

2. How we use information

We use personal information to:

• Provide, maintain, and improve the Service.
• Authenticate users and manage workspaces, trials, and subscriptions.
• Process payments and send billing-related communications.
• Respond to support requests and enforce our Terms of Use.
• Monitor security, prevent abuse, and comply with legal obligations.

3. Legal bases (EEA/UK)

Where applicable, we process data based on contract performance, legitimate interests (such as security and product improvement), consent where required, and legal obligations.

4. Sharing of information

We may share information with:

• Service providers such as Stripe (payments), email delivery, and hosting infrastructure, under appropriate safeguards.
• Workspace members when you join or share data within a team workspace.
• Authorities when required by law or to protect rights, safety, and security.

We do not sell your personal information.

5. Data retention

We retain information while your account is active and as needed to provide the Service, comply with law, resolve disputes, and enforce agreements.

When you schedule workspace deletion from your Profile, we mark the workspace for deletion and retain your data for 30 days so you can restore access from Billing or Profile. During this period, desktop access and automation are disabled; billing continues until permanent deletion unless you restore or cancel separately. After the retention period (or if you confirm immediate purge via support), we delete or anonymize personal data associated with your workspace and user profile, subject to backup retention and legal requirements. Limited audit metadata (such as email and last plan name) may be retained after purge for compliance and support.

6. Your choices & rights

Depending on your location, you may have the right to:

• Access, correct, or delete personal information.
• Object to or restrict certain processing.
• Export your data where technically feasible.
• Withdraw consent where processing is consent-based.

You can update profile details in your account settings and schedule workspace deletion from the Profile page where available. You may restore a scheduled deletion within the retention period from Billing or Profile. Contact support@qreachpilot.com for other requests.

7. Security

We use administrative, technical, and organizational measures designed to protect personal information. No method of transmission or storage is completely secure; please use a strong, unique password.

8. International transfers

If you access the Service from outside the country where our servers or providers operate, your information may be processed in other jurisdictions with different data protection laws.

9. Children

The Service is not directed to children under 18, and we do not knowingly collect their personal information.

10. Changes

We may update this Privacy Policy from time to time. We will post the revised version on this page and update the “Last updated” date.
